How AI and connected tools can help a solo founder build and run a tourism business
Imagine a guide taking a small group through a village. A guest stops to ask about an old house. The guide has time to tell its story. Meanwhile, another traveler is asking about tomorrow’s walk, a family is choosing a departure, and someone is paying for a booking. The business is still working while its founder is out with guests.
The tools needed to support that working day already exist. A well-configured business can answer routine enquiries, take reservations, collect payments and send reminders with very little intervention. For someone entering tourism, that changes how much organisation they need around them before they can begin.
Tourism has always had independent guides, small homestays and enterprising local hosts. What often limited them was the work surrounding the experience. The person conducting the tour was also answering messages, preparing proposals, chasing payments and remembering who needed a follow-up. More customers could quickly mean more administration.
Today, a single founder can assemble much of that support through software. A good experience, local relationships and dependable delivery remain essential. But a large office and a separate person for every business function need not be the starting point.
The first step is to make the experience clear. What exactly does the guest get? How long does it take? How much walking is involved? What happens if it rains? What is included in the price? A founder who has answered these questions has already created the information that their digital tools will need.
ChatGPT or Claude can help turn this material into tour descriptions, draft itineraries, guest messages and proposals for different audiences. Their project features allow relevant files and instructions to be kept together. A guide could maintain approved route notes, prices, timings and cancellation terms, then ask for a family itinerary or a concise response to a corporate enquiry. [1,2,3]
The quality comes from the founder’s knowledge. A useful instruction would be: ‘Use only my approved experiences and current rate sheet. Prepare a relaxed half-day plan, allow time between stops, and flag anything that needs confirmation.’ The guide still checks the route, opening hours and practical arrangements before the proposal reaches a guest.
For someone selling more elaborate journeys, Travefy offers a dedicated itinerary builder and itineraries guests can view on their phones. It can make sense once personalised trips become a regular part of the business. A straightforward document may be enough for a founder selling one or two fixed experiences. [4]
The next task is to make the experience easy to discover and buy. Wix can provide the website, with Wix Bookings handling scheduled services. Google Business Profile gives eligible businesses a free presence on Search and Maps, including photographs and reviews. Canva can help a founder prepare visual material and schedule supported social posts through its Content Planner. Together, these tools allow one person to maintain a credible public presence. [5,6,7]
The content still needs something worth showing. The host explaining a family recipe, the guide introducing a village craftsperson, or the reason a particular stop matters will usually tell a traveller more than another generic destination slogan. AI can help organise the story; the founder has to bring the substance.
Enquiries are where the benefits become immediately practical. Meta has introduced Business AI in the WhatsApp Business app for eligible small businesses in India. It can use information supplied by the business to answer customer questions, capture leads and assist with appointments, while allowing the owner to take over. A guide can use this capability to handle recurring questions about timings, prices and inclusions while conducting a tour. Availability depends on the business’s eligibility and account. [8]
As enquiries grow, a customer relationship management tool, or CRM, becomes useful. Bigin by Zoho can hold contact details and track an enquiry through stages such as new lead, proposal sent, payment pending and confirmed. Its paid WhatsApp integration supports messaging and automated templates linked to workflows. The practical benefit is simple: an interested guest no longer disappears into an old chat thread. [9,10]
For businesses needing a separate platform for AI conversations and lead handling, Wati is another option to evaluate. It should be chosen for a specific need, such as a more structured messaging operation. A founder does not need several competing WhatsApp systems on day one. [11]
Bookings need a reliable system of their own. A guide selling a scheduled walk could configure it as a group session in Wix Bookings, with a participant limit and a published time. Wix supports bookings for multiple participants through its classes and courses, and can send confirmation and reminder emails. Its Razorpay connection supports Indian businesses taking payments in INR. That provides a practical route from a tour page to a paid reservation. [12,13,14]
A custom itinerary takes a slightly different route. The founder reviews the request and confirms any outside arrangements before sending the offer. Razorpay Payment Links can then collect an advance or full payment through methods including UPI and cards. A payment link collects money; it does not, by itself, reserve a vehicle, hold a tour seat or confirm a local host. Those records must be connected or checked. [15]
When distribution becomes more complex, Bókun offers tools designed for tour and activity operators, including booking widgets, availability management and connections to sales channels. This can help when the same experience is sold through several outlets. The business must check payment support for its country and account for subscription charges, applicable booking fees and marketplace commissions. [16]
The largest improvement comes when the tools work together. Make and Zoho Flow let a founder build workflows that move information between connected applications. Zoho Flow, for example, documents a Razorpay integration with payment events and Bigin actions. A configured workflow could match a successful payment to an existing enquiry, update its status and trigger the next customer message. Make also provides integrations for Wix and Bigin. [17,18,27]
For our guide, the proposed journey is straightforward. A traveller discovers the walk and asks a question on WhatsApp. An automated reply explains the standard offer and directs them to the booking page. The booking system checks capacity and takes payment. Once the reservation is confirmed, it sends the meeting point and other instructions. A reminder arrives before the walk; a feedback request follows afterwards. The founder receives exceptions that need attention.
This takes configuration and testing. The booking system should remain the authoritative record of available places, with payment and customer records tied to the same booking reference. Native features can handle much of the journey. Other connections may need a paid plan, an automation service or some technical help. Installing the apps alone does not create the workflow, and the WhatsApp app’s Business AI should not be assumed to synchronise with a separate CRM.
Agent technology adds another useful capability. Make AI Agents and Zapier Agents can interpret information and use connected tools to carry out assigned tasks. An internal agent could read a detailed enquiry, extract dates and preferences, prepare a draft response, and create a follow-up task. Its usefulness depends on the information and permissions it is given. [19,20]
A sensible division of work is to use fixed rules for predictable events, such as sending a receipt after confirmed payment, and AI for interpreting a request or drafting a proposal. Route changes, unusual discounts and promises involving another supplier should reach the founder for review. This keeps routine work moving while preserving control over commitments.
The financial picture can also be kept organised. Zoho Books supports invoices, expense records and reports, and has a documented Razorpay integration. A founder can see what has been collected and what the experience costs to deliver. That matters because a popular tour can still earn very little after transport, meals, commissions and other expenses. [21,22]
The sensible way to begin is with one clearly defined experience and a small set of tools. Choose one AI assistant, one booking and payment route, and a manageable way to communicate with guests. Add a CRM when tracking enquiries becomes difficult. Add more automation when a repeated task is consuming time. Several platforms already combine functions, so every business does not need a subscription for every category.
Costs need to be understood in the same practical way. Free plans are useful for learning and small workloads, but more capable workflows may involve subscriptions, message charges, automation usage and payment fees. For example, Bigin offers a free single-user edition, while its WhatsApp integration is paid. Compare the complete cost with the administrative time saved and the bookings the system helps you handle. [9,10,23]
One person still has finite time. Software can process another enquiry while the founder is guiding, but the founder cannot lead two walks at once. Local partnerships, guest care, safety arrangements and any required permissions remain part of the business. A dependable backup contact also matters when the founder is travelling, unwell or out of reach.
For someoney entering Tourism, this opens a practical route into entrepreneurship. Someone who understands a village’s history, knows its food traditions or can lead a thoughtful nature experience can spend more time developing that knowledge into something visitors will value. A small founder can also bring work to local cooks, craftspeople and transport providers without having to build a large permanent organisation first.
The opportunity is to start with a distinctive experience and build a business that is easy to deal with. Guests can find clear information, receive timely replies and book with confidence. And when they finally arrive, the founder has the time and attention to give them the experience they came for.
1. Practical tool map
Choose tools by the work they need to do. The starter set is a suggested combination for an Indian guide selling scheduled experiences. It is not necessary to subscribe to every product below.
A small starting set
| Business need | Tool | Use and practical limits |
| Planning and writing | ChatGPT or Claude | Draft descriptions, proposals and guest messages from approved business information. Choose one initially; review facts and commitments. [1,2,3] |
| Discovery | Google Business Profile | A free Search and Maps presence for eligible businesses, with photos and reviews. A profile improves discoverability but does not guarantee enquiries. [6] |
| Visual content | Canva | Create tour cards and promotional designs; schedule supported posts with Content Planner. Check plan, account and publishing limitations. [7] |
| Routine enquiries | WhatsApp Business AI | Answer common questions using business information and hand over to the owner. Available to eligible Indian accounts; verify access in the app. [8] |
| Website and reservations | Wix with Wix Bookings | Present experiences, manage scheduled sessions and send booking emails. Group bookings use classes or courses; configure capacity and payment rules. [5,12,13] |
| Payments | Razorpay | Wix integration for India and INR; Payment Links for reviewed custom offers. Merchant onboarding, fees and payment-method eligibility apply. [14,15] |
| Financial records | Zoho Books | Record invoices and expenses, review reports and connect Razorpay. Choose the appropriate tier; accounting records still need review. [21,22] |
Add when the business needs it
| Business need | Tool | Use and practical limits |
| Enquiry tracking | Bigin by Zoho | Track enquiries and follow-ups through a sales pipeline. Free edition: one user and 500 records. WhatsApp integration and automation require a paid edition. [9,10] |
| Detailed itineraries | Travefy | Build guest-facing itineraries with mobile access. Useful for regular custom journeys; check its included CRM and website functions before buying duplicates. [4,24] |
| Tour distribution | Bókun | Manage tour availability and sales channels. Published Start price: US$49 a month plus 1.5% on applicable bookings. Check gateway support and separate channel costs. [16] |
| Connected workflows | Make or Zoho Flow | Move data between supported applications. Match payments to bookings, update contacts and trigger follow-ups. Verify each required event and action. [17,18,23] |
| Internal AI tasks | Make AI Agents or Zapier Agents | Interpret enquiries and use authorised tools. Keep approval steps for exceptional commitments. Zapier Agents are internal automations, not an embeddable customer chatbot. [19,20] |
| Expanded messaging | Wati | Evaluate its AI conversation and lead-handling tools if native WhatsApp functionality no longer meets the need. Check subscription, messaging and AI usage costs. [11] |
2. An example of a connected workflow
This model uses Wix Bookings as the reservation record, Razorpay for payment, and a configured connection to Bigin when a separate CRM is needed. The automated steps are proposed uses of the verified features described in the article.
| Event | Configured response | Founder control |
| Guest asks a standard question | Business AI answers from approved business information and shares the appropriate booking link. | Founder takes over unusual requirements; do not assume CRM synchronisation. |
| Guest selects a scheduled walk | Wix Bookings applies the configured session capacity and checkout rules. | The booking system owns seat availability; the AI does not invent places. |
| Payment succeeds | The booking is confirmed under its payment rules. A configured connector can update the matching Bigin record. | Match the payment to the correct booking and prevent duplicate updates. |
| Walk approaches | Booking emails provide the meeting point, timing and preparation advice. | Founder reviews weather and operational changes; cancelled bookings must stop reminders. |
| Walk is complete | A configured workflow sends a feedback request and updates the customer record. | Use the appropriate consent and messaging settings; provide an easy way to stop marketing. |
| Custom request or failed process | The workflow creates a task or alert for the founder. | Confirm supplier arrangements before making a promise; investigate failed payments or automations. |
Implementation and cost notes
This proposed workflow has not been tested as a deployment. Configure and test its connections, keeping one primary booking system and one messaging route. Confirm the required triggers and actions in each plan.
WhatsApp Business Platform integrations require approved templates outside the 24-hour customer service window, suitable opt-in and a clear route to a person. These rules differ from the ordinary WhatsApp Business app’s features. [25]
Compare taxes, billing periods, message fees, automation usage and payment charges. Relevant third-party AI connections in Make incur both Make credits and provider fees; do not assume a ChatGPT or Claude subscription includes that API use. [23]
Clover is a separate point-of-sale and payments platform. Its published supported-market list does not include India, so it is not the payment option used in this India-focused example. Claude is the AI assistant discussed in the article. [26]
